Getting a business started can be taxing enough without the extra headache of knowing which systems and services you should be using to be most efficient.
As a result, sole traders and small businesses generally start by using personal email addresses and services which they quickly outgrow, and find that they have to share with their new employees as they expand. At that point it's time to start thinking about centralising your IT, either to a public cloud offering such as Google Workspace, Microsoft 365 etc, or to private services that are then tailored to you.
It may also time to think about integrating the services that you use for accounting and CRM to make it easier to do business now, but also to prepare you for any future expansion.

In my career I have been fortunate enough to hold senior positions with some very large, well established companies as well as small startups and those transitioning to enterprise status (scale-up). I have experienced best practices, and I'm sad to say, bad practice and toxic work environments which have needed addressing too.
